What DOI Doctor holds, why it holds it, and how to have it removed · last changed 1 October 2026

Who this is

DOI Doctor is a service of Smart Scholars, 304, MK Residency, Srinivasa Colony, Uppal, Hyderabad 500039, Telangana, India. Questions about anything on this page: mou@smartscholars.in.

Our customers are journals and publishers. We are not a consumer service and we do not sell anything to readers, authors or the public.

What we hold

  • The journal's own details — title, website, ISSN, DOI prefix, publisher, contact address: all of it already public.
  • The account of the person who signs in — name, e-mail address, and a password we never store in a readable form.
  • Credentials the journal chooses to give us — its Crossref login, its journal system's API key, and the permissions described below. These are stored encrypted, used only to do the work the journal asked for, shown to nobody, and never sent to any third party except the service they belong to.
  • Records of the work done — which DOIs were checked, what was deposited, which posts were published, and when.

Facebook, Instagram and YouTube

A journal may connect its own Facebook Page, Instagram account or YouTube channel so that news it has written and approved can be published there. Connecting is entirely optional and nothing here happens without it.

  • What we receive. From Facebook: the list of Pages that person manages, and an access token for the one Page they choose. From Instagram: the account identifier and username of the Professional account linked to that Page. From Google: a lasting permission for YouTube uploads, and the channel's identifier and title.
  • What we do with it. Publish the posts that journal has approved, and — only when asked — check that the account still answers. Nothing else. We do not read the journal's messages, its followers, its analytics or anyone's personal data, and we ask for no permission that would let us.
  • What we never do. We do not sell, rent or share this data. We do not use it for advertising, profiling or training any model. We do not post anything the journal has not approved on its own page in this app.
  • How long. Until the journal disconnects the account, or asks us to delete it — whichever comes first. Disconnecting removes the stored permission immediately.
  • How to disconnect. Press Disconnect beside that network on the journal's Newsroom page, or follow Removing your data. The same can be done from the account's own settings at Facebook or Google, and we honour that at once.

ORCID: adding your works to your ORCID record

A researcher may sign in with ORCID here to add the works the Smart Scholars DOI Registry holds to their own ORCID record. It is entirely optional, and you sign in at ORCID itself: we never see your ORCID password.

  • What we receive. Your ORCID iD and the name your ORCID record gives, with the other names on it; and, if you agree on ORCID's own page, a permission to read your record and to add and update works on it. The permission is stored encrypted.
  • What we do with it. Find the works the registry holds that may be yours, by your iD and your names (you can clear that and search yourself); add the ones you tick, after you have seen the ticked list once more and pressed again; keep a work we added up to date when its record changes; and, only if you tick it, add new works that carry your iD as they are registered. Nothing is written to your record without your own press.
  • What we keep. Your iD, your names, the permission while you stay connected, the works added (each DOI and ORCID's reference for it), and a dated line for each thing done — the record of what was written to your ORCID record and when.
  • What we never do. Use any of it for anything else, share it, sell it, or write to your record without your press.
  • How to stop. Disconnect withdraws the permission at ORCID and erases it here; the works stay on your record, which is yours (remove them first, from the same page, if you want them gone). You can also withdraw it in your ORCID account, under Trusted parties. Signing out on one browser leaves the connection in place. Write to us and we delete the rest: your iD, the list and the dated lines.

Who else sees it

Only the services the work is addressed to: Crossref when a DOI record is deposited, the journal's own website when something is written to it, and Facebook, Instagram or YouTube when a post the journal approved is published there; ORCID, when a researcher adds works to their own record. We use no advertising networks and no third-party analytics: visits are counted by Smart Scholars' own analytics server, with no cookie and without keeping anyone's internet address.

Removing it

Write to mou@smartscholars.in from the address on the account and we will delete the journal's data within 30 days, or sooner. Published records at Crossref and posts already public on a journal's own accounts are not ours to withdraw; we will say plainly which those are. See Removing your data.

Changes

If this policy changes in a way that affects what we hold or what we do with it, the journals using the service are told by e-mail before the change takes effect.
